SCHOOL POLICY

1. Registration

Students will be given a free trial lesson of thirty minutes when enrolling with the Royal Ontario Academy of Music.  This lesson can either take place at the teacher’s studio, the student’s home or virtually using Microsoft Teams. 

2. Payments

Payments have to be made by the 27th day of the month for the following month through our website. The monthly fee includes 4 lessons a month. One lesson a week. The duration of the lesson can be either thirty minutes, forty - five minutes or sixty minutes in duration. Longer lesson times can be arranged where needed. Please contact the school for further details. info@roamusic.ca is the email address. In a calendar year, there will be months where there are five weeks which results in five lessons that month. When this happens, an additional payment for the fifth lesson will be required to be paid at the beginning of that month. If your payment does not go through due to an expired card, please notify the Royal Ontario Academy of Music as soon as possible. Lessons will be paused during this time. You will have one week from the date the payment is declined to repurchase your monthly plan with an updated payment method. If an updated payment method has not been provided within this time, all lessons will cease.

3. Cancellations

Cancellations of classes must be made with 24 hours notice. Parents are to notify the teacher and the Royal Ontario Academy of Music by email. The teacher will be responsible for rescheduling the cancelled lesson and notifying the parent and the Royal Ontario Academy of Music. Cancelled lessons must be held within a month from the date they are canceled. Options for make up classes could be done virtually using Microsoft Teams or through extended lessons or on a different day during that month. You will only have one month to arrange a time and date with the teacher for a rescheduled lesson. For example, if a lesson is canceled on the 14th of September, the lesson must be rescheduled by October 14th. Failure to do this will result in the loss of that lesson and the lesson fee. If the lessons need to be canceled on the day of the lesson due to extenuating circumstances parents/students (over the age of 18) must contact their respective teacher. The teacher will decide and notify the parent/student/Royal Ontario Academy of Music if the lesson is a missed lesson or a make up lesson. Exceptions for last minute cancellations only apply if the student is ill or if it is an Act of God such as bereavement or the loss of a loved one. In the case of inclement weather a lesson can either be canceled and rescheduled for another day after contacting the teacher and the Royal Ontario Academy of Music or it can be held virtually using Microsoft Teams.

A make up lesson will not be granted if

I) the student forgets to attend the lesson.

II) the student does not show up for the lesson.

III) the lesson is canceled when it has already begun.

4. Pausing Lessons

Pausing lessons means that you plan to continue lessons at the Royal Ontario Academy of Music. Lessons can be paused for a maximum of 4 weeks. The Royal Ontario Academy of Music must be notified at least one month in advance by email. The longer you pause your lessons, the greater the chances of you losing your time slot and or your teacher to another student. All lessons missed during the absence will need to be made up, with the exception of July and or August. These lessons during July and August do not need to be made up. Please notify the Royal Ontario Academy of Music a month in advance if you plan to pause your lessons for the months of July and or August. If you plan to pause your lessons during the summer months, you will need to pre-pay for the month of September in order to maintain your lesson time and teacher. Please notify your teacher and the Royal Ontario Academy of Music by email regarding this matter at the beginning of June.

5. Media Release Form

The media release form will need to be signed as photographs from our recitals will be posted to the Royal Ontario Academy of Music website. Photographs can also appear on social media platforms for promotional purposes.

6. Statutory Holidays

If a lesson falls on a statutory holiday, the teacher will need to reschedule the lesson for that day unless the student/parent/teacher decides to have the lesson on the statutory holiday

7. Termination

If parents decide to terminate lessons, a month’s notice must be emailed to the Royal Ontario Academy of Music.

8. Dress Code

Students are to be dressed for their lessons as if they are attending school. If the student is found to be dressed inappropriately they may be asked to change into something more suitable. Unfortunately, this time that is lost can not be made up

9. Cellular Phones

During a lesson, cellular phones should be kept on silent mode so as not to pose a distraction. Under no circumstances will audio or video recordings of the lesson be permitted on any device.

10. Drop - Off and Pick - Up

This applies to in-person lessons in the teacher’s home. Parents can drop off students for each lesson and pick them up promptly when the lesson is finished. It is highly recommended to “sit in”during your child’s lesson. Please ask the teacher’s permission for this. It is at the teacher’s discretion whether or not parents are allowed into the learning space in the teacher’s home.

11. Being Prompt for Lessons

Give yourself ample time to commute to the teacher’s home if you have selected that option when you registered. If there is an extenuating circumstance preventing you from showing up to your lesson on time please notify both your teacher and the Royal Ontario Academy of Music via email. Unfortunately, we can not guarantee any lost time to be made up.

12. Schedule

When you first sign up for lessons you will be presented with one or more available time slots. It is expected that you stick to your time slot for the duration of your lessons. If you would like to make a permanent change to your schedule for music lessons you will need to notify your teacher and the Royal Ontario Academy of Music via email. Your teacher will try to accommodate your request based upon their availability. Please refrain from making frequent changes to your weekly schedule so as to avoid any unnecessary confusion.

13. Communication

All communication is to be made in writing via email with the teacher and the Royal Ontario Academy of Music. Under no circumstances should a parent/student and a teacher exchange telephone numbers or personal contact information. If you are found to have a teacher’s personal contact information, the Royal Ontario Academy of Music shall treat this as a breach of our studio policy and this may result in all lessons being suspended with no refund. All communication between parent/student and teacher must be done via email. Please copy the Royal Ontario Academy of Music on all emails.

14. Concerts/Recitals

Concerts/Recitals will be held twice a year. The first will be held between the months of November/December and the second will be held between the months of May/June. Students are encouraged to attend and perform at these two performances so as to share their talent with the students and staff of the Royal Ontario Academy of Music.

15. Disclaimer

By signing up for music lessons at Royal Ontario Academy of Music, you are doing so out of your own choosing and free will and you agree to the terms and conditions stated in this studio policy. Failure to abide by these terms and conditions will result in the termination of music lessons and no refund shall be given for any lessons paid for. Royal Ontario Academy of Music shall not be held liable for any loss of property, property damage and or personal injuries that may or may not be associated with music lessons. You agree to waive any all such claims against Royal Ontario Academy of Music.
